HighLevel's Conversation AI Flow Builder, Explained

HighLevel's Conversation AI used to mean one bot with one big prompt. The Level Up 2026 recap introduces "AI Agents: Flow-based builder for Conversation AI": a visual canvas where one bot routes each conversation to specialized agents, each with its own instructions and tools. If you've ever had a single prompt trying to qualify leads, answer FAQs and book appointments at once, this is the fix HighLevel is offering.

Quick take:

  • A visual canvas for Conversation AI bots, built from AI Agent nodes, routers, waits and transfers.
  • Global AI Agents handle requests that can come up anytime, like "can I talk to a person?"
  • Build with AI drafts or edits the flow from a plain-language description.
  • It's for inbound conversations only. Outbound stays with prompt-based bots.

How to start

HighLevel's recap gives the path: go to AI Agents → Conversation AI, create a new bot and choose the Flow Based Builder. The canvas starts with a basic Start → AI Agent → End path, and the builder has three areas: Build, Deploy and Test.

The building blocks

AI Agent and Global AI Agent nodes

  • An AI Agent handles one job with its own instructions and tools, for example qualifying a lead, answering questions from a Knowledge Base, or booking an appointment. It's active when its path is active.
  • A Global AI Agent stays available through the whole conversation. HighLevel's examples: asking to speak with a person, asking the bot to stop, or asking for another action while a different agent is active.

Routing and flow control

Node What it does
Router Sends the conversation down different paths based on conditions
Sequential Runs set actions in order
Wait Pauses until a time or reply condition is met
Bot Transfer Hands the conversation to another bot
End Node Ends a path
Sticky Note Internal notes on the canvas

HighLevel says Wait conditions include elapsed time, scheduled times, contact replies and team member replies.

Tools you can give each agent

You assign tools only to the agents that need them. HighLevel's help article lists:

  • Knowledge Base and Web Search for answers
  • Appointment Booking with your calendars
  • Skills for supported CRM tasks
  • API Call for outside systems
  • Custom Message for fixed wording
  • Email, Phone and Text Input Capture to collect details

HighLevel notes some tools need extra setup, permissions or outside connections.

Build with AI

Instead of placing every node yourself, you can describe the bot, for example a clinic front desk that answers questions, books appointments and passes billing questions on, and Build with AI drafts the flow. You can also use it to edit an existing flow. Always review what it builds.

Test, then deploy

HighLevel's checklist before going live:

  1. Review the canvas. Check connections, agent instructions, assigned tools, Router destinations and Global Agent jobs.
  2. Test with a test contact. Try different requests and watch responses, tool use and handovers. HighLevel warns some tools can change contact records or appointments during testing, so use a test contact.
  3. Deploy. Pick the supported inbound channels and set working hours and after-hours behavior.
  4. Activate the bot in Bot Settings. HighLevel notes the canvas has no separate Publish button.

Related Conversation AI updates in the recap

The same recap lists several Conversation AI improvements that pair well with flows:

  • Rich elements: quick replies, lists, link buttons, images and files on supported channels such as WhatsApp, Messenger, Instagram and Live Chat (enabled in Response Behavior).
  • MCP server support: prompt-based bots in Auto-Pilot can call tools from 40+ catalog apps or custom MCP servers (a Labs feature). Flow bots are not currently supported via MCP, per HighLevel's MCP help article.
  • Date and time awareness and advanced time-zone support for booking.
  • Outbound AI Agents, covered in our outbound Conversation AI guide.

What it costs

The builder is part of Conversation AI, which is a paid AI agent. HighLevel's AI Employee Growth plan ($50/month per sub-account) includes 1,000 Conversation AI responses a month, and Unlimited ($97/month) is unlimited, subject to fair use. Details are in our AI Employee pricing guide.

One caveat. HighLevel's AI pricing article bills Agent Studio Flow Agents at pay-per-use rates for agency and sub-account users, and says no AI Employee plan includes an allowance for them. It doesn't say whether flow-based Conversation AI bots count toward Conversation AI responses or are billed some other way. Check the usage and charges in your own account before you quote a client.

When to use flows vs a single prompt

  • Use a flow when a bot handles several distinct jobs, needs handoffs between bots, or must wait for a reply or a team member.
  • Keep a prompt-based bot for simple FAQ bots, for outbound conversations, and for MCP tools, which HighLevel's docs say aren't currently supported in flow bots.
